IT Outsourcing vs In-House Hire: Real Cost Comparison for SMBs in 2026

The decision between outsourcing IT and hiring in-house directly impacts operating costs and risk

An in-house IT hire costs more than the salary: there is also insurance, equipment, software, training and the cost of replacing them when they leave. An outsourced plan has a fixed monthly price, but you hand part of the control to a partner.

IT outsourcing isn't always right. This article helps you work out when to outsource and when to hire in-house. Plan prices come from Vietify's published price list; the staffing costs are our own rough estimates, not verified market data.

Definitions: IT Outsourcing and In-House IT

IT Outsourcing (or Managed IT Services) is the model of hiring an external company to manage your entire IT system — including employee support, security, backup, network, cloud — for a fixed monthly fee under SLA contract.

In-House IT means hiring one or more full-time IT employees, signing labor contracts, paying benefits, training, and managing them like any other position.

Real Cost Comparison Table for SMBs in Vietnam 2026

Worked example for a 25-employee business (inside the 15–30 staff range of the MANAGED IT PRO plan). The staffing costs are our own rough estimates; replace them with your real numbers:

Cost itemIn-House IT (1 person)IT Outsource (Managed IT Pro)
Base salary$600-900/month—
Social insurance/benefits (22%)$130-200—
13th month bonus (prorated)$60—
Work equipment (laptop, tools)$40/month (depreciation)—
Software licenses (TeamViewer, RMM)$50/month(included)
Periodic training$20/month—
Recruitment costs (prorated)$15/month—
Office space, electricity$20/month—
MANAGED IT PRO fee (list price, VAT included)—9,900,000 VND/month
TOTAL/MONTH$935-1,305 (estimate)9,900,000 VND
TOTAL/YEAR$11,200-15,660 (estimate)118,800,000 VND

Convert at your own exchange rate to compare. The in-house column is an estimate, so treat the saving as a range, not a promise.

But money isn't everything. Need to compare 8 other criteria.

When SHOULD You Hire In-House IT?

IT outsourcing isn't right for every business. 5 cases when in-house IT makes sense:

1. Business with 50+ employees and large IT workload

When the company has 50+ computers, complex ERP/CRM systems, and 10+ specialized software — Managed IT costs may be higher than salary of 1-2 in-house IT staff.

However, even at this scale, the Co-Managed IT model (in-house IT + Vietify advanced support) usually has better ROI than pure in-house.

2. Special compliance requirements (finance, healthcare)

Banking, securities, healthcare industries need tight audits and 24/7 system access. In-house gives better control.

3. Software product development (not IT consumption)

If the company is developing software/apps, you need full-time software engineers — that's not IT helpdesk, that's a different role.

4. R&D / proprietary technology

Businesses with custom-built proprietary systems (e.g., custom e-commerce platform, custom production systems) — in-house IT understands the system deeply, outsourcing struggles to access enough context.

5. Corporate culture prioritizes tight control

Some business owners want IT to be in-house, physically present, easy to control. This is personal preference — not right or wrong.

When SHOULD You Outsource IT?

6 cases when outsourcing makes sense:

1. Business with 1-30 employees

This is the sweet spot. Outsourcing costs 50-70% less than in-house, higher quality, no HR worry.

2. No dedicated IT person

Currently the accountant, marketing, or admin "doubles as IT" — time to stop. They don't do IT well + don't do their main job well.

3. Frequent IT incidents

Each month 5-10 network/computer issues → total damage cost > outsourcing fee. Outsourcing reduces incidents through proactive monitoring.

4. Need advanced security (ransomware, phishing)

Advanced security requires 3-5 years experience and certifications (CompTIA Security+, CEH, CISSP). Equivalent salary $1,000-1,600/month — too expensive for SMBs. Outsourcing has this team ready.

5. Scaling fast (growing 50%+ employees/year)

Hiring in-house IT is always slower than growth. Outsourcing scales flexibly — change plans in 1 week.

6. Need VAT invoices for expenses

IT outsourcing is a service, has full VAT invoices, easy to account for. In-house IT salary doesn't.

Co-Managed IT Model — The Hybrid Choice

For 30-100 employee businesses, the Co-Managed IT model is often optimal:

How it works:

  • 1 in-house IT (salary $600-800/month) — handles daily requests, close to employees
  • Vietify Managed IT (IT CARE plan, 4,990,000 VND/month, for 5–15 staff) — unlimited remote support, two on-site visits a month, network management, basic backup, security and system updates

Rough total: one in-house salary plus the 4,990,000 VND IT CARE fee. Add your real salary figure to get your own number.

In this model the in-house person handles daily requests and knows the business, while the partner provides deeper expertise and cover when they are away. It is a common setup for companies of 30–50 people who want someone on site and a safety net.

7 Important Questions Before Deciding

Before choosing outsource or in-house, answer:

  1. How many employees do I have now? In 12 months?
  2. How many IT incidents do I have monthly? How much time lost?
  3. Do I have stable budget of $1,000-1,300/month for IT?
  4. How complex is my IT system? (count specialized software)
  5. Do I have high security requirements? (finance, healthcare)
  6. Do I want to manage IT employees directly?
  7. Do I need VAT invoices for IT expenses?

Answering these 7 questions gives you 80% of the answer.

Worked Example: Two Ways to Cost a 25-Person Company

This is an illustration for you to adapt, not a record of a specific customer. The staffing costs are our assumptions; the plan price is from Vietify's published price list.

Suppose a 25-person company is choosing between two routes.

Route 1 — hire one in-house IT person

  • Assumption: salary about $760/month, and with benefits, equipment and licences about $1,040/month in total, or roughly $12,500 a year.
  • Risk to factor in: if that person leaves, the time to hire a replacement is a gap with nobody in charge of IT. What that gap costs depends on your business, so this article gives no figure for it.

Route 2 — the MANAGED IT PRO plan

  • List price: 9,900,000 VND/month, or 118,800,000 VND a year (VAT included).
  • Per the price list: 1-hour response, unlimited on-site support, 24/7 proactive monitoring, cloud backup and a monthly report.

Direct cost difference under these assumptions: compare about $12,500 a year with 118.8 million VND a year at your own exchange rate. Replace our assumptions with your real figures, and add your own estimate of downtime cost.

FAQ About IT Outsourcing

Is outsourcing safe for data?

Yes — if you choose a reputable vendor. Vietify signs written NDAs with all clients, every action has audit logs, and we apply Least Privilege policy (access only when needed). Safer than in-house in one way: a "bad" in-house IT can steal data — vendors have many clients, legal risk too high to do that.

Do outsourcing vendors really respond fast?

Depends on vendor and plan. Per Vietify's published price list, response times are: STARTER 8 working hours, IT CARE 4 working hours, MANAGED IT PRO 1 hour, IT PARTNER 15 minutes. Ask for every SLA commitment, including what happens on a breach, to be written into the contract.

If I'm not satisfied, can I switch vendors?

Yes, if the contract sets out termination and handover clearly. Before signing, ask the provider about the minimum term, the notice period and handover of admin accounts and system documentation. Vietify's specific terms are set out in its contract.

Does IT outsourcing understand my industry?

Each industry has different IT requirements. Ask any provider about experience with businesses of your size or sector; Vietify offers a free IT assessment.

Can I start with a small plan and upgrade?

Yes. Per the price list, STARTER is 2,490,000 VND/month (1–5 staff) and IT CARE is 4,990,000 VND/month (5–15 staff). After a few months you can review your needs and move up a plan.

Conclusion

The decision to outsource or hire in-house has no universal formula — it depends on size, industry, budget, and management style. However, for SMBs of 1-30 employees in Vietnam, IT outsourcing is almost always the optimal choice: saves 50-70% costs, higher quality, no HR risk.

For 30-100 employee businesses, the Co-Managed model (1 in-house IT + outsourcing support) usually has best ROI.

Action today: calculate the real cost of your current in-house IT (salary + benefits + equipment + license + training + downtime). Compare with outsourcing fees. If the difference is >$5,000/year — you're paying too much.
