Microsoft 365 vs Google Workspace 2026: Which Is Better for Vietnamese SMBs?

Picking the wrong platform can raise costs and force a migration later

Picture a company that signs up every employee for Google Workspace, then realises a few months later that staff have no desktop Word or Excel while partners require properly formatted .docx files. It ends up buying Microsoft Office on top, and total spend rises. This is an illustrative scenario we made up, not a record of a specific customer, and it carries no cost figures.

Pricing note: this article does not state prices of its own. For Microsoft 365 we use only Vietify's list price (checked 16 October 2026), which is per user per year; confirm the billing period and VAT in your quote. For Google Workspace, when we opened Google's pricing page on 15 October 2026, Business Starter showed $7 and Business Standard $14 per user per month (one-year commitment, excluding tax, region not stated). The two use different units (VND per year versus USD per month) and we do not convert them because we have no confirmed exchange rate. The two platforms differ a lot in features, so choose by how your team works, not only by price.

Real Pricing in 2026 (VND and USD)

Prices change with time and purchase route, so the table below shows only Vietify's list price for Microsoft 365.

Google Workspace

Vietify does not list a price for Google Workspace. Google's own public prices: see the pricing note at the top (Business Starter and Business Standard).

How to compare costs yourself: get written quotes for both platforms for the same number of users and the same billing period (Microsoft per year, Google on a one-year commitment), with VAT. For 10 users, the Microsoft list price is from 15,000,000 VND a year (Basic) or from 35,900,000 VND a year (Standard) by plain multiplication. If you need desktop Office, add the cost of buying Office separately when you use Google Workspace. An earlier version of this article had a 20-user total-cost table and a "cheaper by X%" conclusion; those figures were our own older estimates that we could not verify, so they were removed.

1. Office Productivity Apps

Microsoft 365 — stronger:

• Word, Excel, PowerPoint install locally; work offline without any internet dependency
• 100% compatibility with .docx/.xlsx files from clients and partners
• Advanced features that matter in practice: Excel pivot tables, Word mail merge, PowerPoint Presenter View

Google Workspace — limited here:

• Docs, Sheets, and Slides are online-only
• Exporting complex documents to .docx frequently breaks fonts, tables, and layouts
• Offline mode is unreliable on slower connections — a real concern in Vietnam's regional offices

Vietify recommendation: If your clients or suppliers use Office (the norm in Vietnam, Japan, and Korea), Microsoft 365 is the safer choice.

2. Email

Microsoft 365 (Outlook):

• 50GB mailbox (Basic) up to 100GB (Premium)
• Calendar deeply integrated with Teams
• S/MIME email signing and encryption built in
• Powerful rules engine, fast search

Google Workspace (Gmail):

Verdict: Roughly equal — the right answer depends on what your team already knows.

Microsoft Teams — stronger for enterprises:

• Included in all M365 plans — no add-on cost

Google Meet — better for simple SMB needs:

Verdict: Teams is more powerful but more complex. Meet is adequate for most SMBs and easier to roll out.

• SharePoint for shared team files, tightly integrated with Teams channels

Google Drive (GWS):

• Shared drives are intuitive and easy to manage

Verdict: For enterprise-grade shared storage and permissions, SharePoint/M365 is more capable. For day-to-day search and UX, Google Drive wins.

5. Security

Microsoft 365 Premium — enterprise-grade:

• Defender for Business (EDR-level endpoint protection)
• Intune for mobile device management (MDM)
• Conditional Access to block sign-ins from unrecognized devices
• The right fit for businesses with compliance requirements (finance, healthcare, legal)

Google Workspace — sufficient for most SMBs:

• Context-aware access policies
• Alert Center for suspicious activity
• Vault for compliance archiving (from Business Plus)
• Simpler to configure, with fewer moving parts

6. Local Support in Vietnam

Microsoft — stronger local presence:

• Authorized resellers in Da Nang include Vietify, FPT, and CMC

Verdict: Both AI offerings are genuinely useful. Google Gemini feels more natively integrated across GWS; Microsoft Copilot is more powerful but carries an extra monthly cost.

Which Platform Fits Your Business? 4 Profiles

Choose Microsoft 365 if:

• Your staff already knows Word and Excel — retraining has a real cost
• You regularly exchange Office files with clients, suppliers, or government agencies
• You have compliance requirements (accounting, healthcare, legal) — Defender and Intune cover you
• You want simple procurement in VND with a Vietnamese VAT invoice
• You plan to use Microsoft Teams for meetings and internal communication

Recommended plan for 10–50 person SMBs: Business Standard (Vietify list price from 3,590,000 VND per user per year)

Includes (as described in this article; check Microsoft's current plan page): desktop Office, email, OneDrive, Teams and SharePoint.

Choose Google Workspace if:

• Your team is younger and lives in Google — already using personal Gmail, Docs, and Drive
• You work primarily online — rarely needing documents offline
• Real-time collaboration is a priority — multiple people editing one document simultaneously
• You are a startup or agency wanting a fast, low-friction rollout
• Your workflows depend on other Google products (Google Ads, Google Analytics, Maps Platform)

Special Case: Running Both Platforms

Some agencies and marketing teams use a hybrid approach:

• Google Workspace for email and internal collaboration
• Microsoft 365 Apps for Business (email not included) — solely for desktop Office access; Vietify does not list a price for this plan

This usually costs more than a single platform, but you get both ecosystems. It only makes sense if your workflows genuinely depend on both; add the two quotes to see the real number.

Two Illustrative Scenarios: Different Choices for Different Ways of Working

These are two scenarios we made up, not customer records. We have no verified statistics on how many businesses choose each platform, so this article gives no split.

Scenario A: a mostly browser-based team. A small design office whose staff are comfortable with Gmail and collaborate in real time. Google Workspace suits that way of working. A problem can appear when clients send specialist file formats (for example drawing files) that the browser cannot preview; the company may then keep Google Workspace for email and buy Office once for the few machines that need it.

Scenario B: a team that lives in Excel and financial data. A small accounting office whose software imports and exports Excel, whose clients send complex workbooks, and whose financial data needs endpoint protection. Microsoft 365 suits that, and a plan with stronger security is worth considering.

Lesson (our judgement): start from how your team and clients actually work, then compare prices.

Quick FAQ

Does Microsoft 365 support Vietnamese language in the apps?

Yes. Office desktop includes a Vietnamese language pack that installs for free. Outlook, Word, and Excel all run fully in Vietnamese.

Can I buy Google Workspace in Vietnam and get a VND invoice?

Yes, but it is more limited. Google Billing supports VND, but typically requires a credit card. Google Workspace resellers in Vietnam — fewer than Microsoft resellers — can issue proper VAT invoices.

Is a free @gmail.com address good enough for business?

It works, but it is not professional and creates operational risks. There is no admin panel to reset a password when an employee leaves, and there is no company-controlled backup or retention policy.

Can we split — some staff on M365, others on GWS?

Technically possible, but it creates friction with calendar sharing, meeting invites, and user management. We recommend committing to one platform for the whole team.
